Events Manager

Individual timelines, playlist, and notes on a calendar.

Manage your events with a fully customized preset for every event type.

Settings has pre-built event types. Add your own and then easily configure them right in front of the client.

Help them set up a timeline for their event while building a timeline for yourself as well.

Add playlists, Boxes, Notes, and an event file for managing it all.

The Events Manager has a calendar for you to see all upcoming holidays and other events on any day or month in an intuitive way.

You can also add specific notes per song in an event's song list to prevent confusion.

Then sync that event to the online calendar and have your phone show you those events in its own calendar.

The list of events is on the left and the month is on the right. Add an event, and the type fills the fields in. The wizard fills most of them from the preset. Double-click an event to edit it. Delete removes the event and everything on it. Clone copies the event and everything on it. Show calendar hides the event items and brings the month back.

The events list can be all, future, happening now, later today, or past. Search sits under that list.

Right-click a date to add the event on that day. DJ check-in is the time to clear security, park, and reach the booth with the gear. Setup is the time to get that gear ready. When two events share a time, Order sets which one comes first. Text is the list text, Back is the list background, and Highlight is the calendar border. Contact is who to call, usually the coordinator. Status is Confirmed once the deposit is in, Tentative when you have agreed and the deposit is not in, and Cancelled when the job is off.

Add Event Wizard

The menu item is Add event wizard. The four steps are Event Type, Event Info, Event File, and Event Flow Boxes. The type picks a preset. The flow step offers the boxes for that type, the same moment names the box wizard uses, such as Processional and First Dance for a wedding.

It creates the event, the spreadsheet from that type's template, and the boxes or playlists for the moments you keep. Settings also holds event types you add yourself.

Event Boxes

These boxes do everything a box from Collections does, in addition to having an Event Song Note.

A box is the songs, unsorted. Click the box and those songs open in the library.

Event File

Each event type has its own Event File template to start off.

You can select from any of the pre-built event files or make your own.

In there, add the schedule, VIPs, and any other worksheet you want.

The file opens in the built-in viewer. The sheets are Event Info, Full Timeline, DJ Timeline, VIPs, Speeches, Service Providers, and Contract. A wedding file also has Ceremony. Event Info repeats the editor fields and stays locked. Double-click a row there to open the event editor. Full Timeline is the whole run of show. DJ Timeline is that same sheet filtered to rows with a DJ value, and it is locked because the edit belongs on Full Timeline. VIPs is who you need to know at the wedding. Speeches is who speaks. Service Providers is the vendors. Contract columns are Rate, Qty, Sub, and Total. Those totals are calculated line items. Events Manager is one DJ's own gigs.

Event Playlists

These playlists do everything a playlist from Collections does, in addition to having an Event Song Note column for you to add a special note.

This is especially useful for Ceremony lines where each group gets their own song.

Add the songs, order them, then add that note so you know what you need to know.

A playlist is the same songs in an order. Click it and that order opens in the library.

Event Notes

Small notes for your event that don't get lost with everything else.

A note is text that can be viewed as a list of songs. Click it to see the note on the right.

Event Song Note

A special column for Event Boxes and Event Playlists that lets you add a per box/playlist per song note for each song.

The same song in a different box/playlist can have a different note.

This lets you add multiple notes to the same song in different parts of the event.

Events Calendar

A beautiful calendar with highlighted Events and Holidays. Categorized by colors.

Show/hide Events and Holidays with 1 click.

Know when to charge more during an upcoming holiday that gets updates from the internet.

Click a date for that day's events. Highlight draws a line on the top and the bottom of the event's dates. Today is always a red line on the top and the bottom. Each event also has a line on the left and the right. The menu on the right of the month chooses what is drawn, and it opens the holiday editor.

Holiday Editor

Subscribe to a holiday set, or add a holiday by hand.

You can set a color for each holiday type or each specific holiday.

Add date/time start and finish for detailed accuracy.

Holidays will have a bar on the right and left with the color you selected. Default is Lime (Bright Green).

Turn on a downloaded feed, or paste a new feed link. Holidays that are already saved still draw when the net is not used.

The menu on the calendar lists Show, then the feed name, then Holidays. Checking one shows that set. The menu stays open while a set is checked. The sets the app already knows are American, Jewish, Christian, Islamic, Hindu, Buddhist, Orthodox Christian, Chinese, UK, and Canada.

A new feed is a web link. A webcal link is read as https. A link that is not http or https is refused. The name comes from the calendar file. Deleting a feed deletes the holidays that came from it.

Online Calendar Sync

Sync your events to an online calendar so you can connect your phone to see upcoming events and schedule reminders.

The feed is a calendar named PowerBox DJ Calendar. Email calendar link sends that address to you. Open the mail on the phone and tap the link to subscribe.

Event Book

A custom-built app designed to view and filter event files (.xlsx).

It is strongly recommended to use Microsoft Excel. However, Event Book is a decent substitute for it compared to Microsoft Excel Viewer.
